This conference room set‑up safety checklist template is designed for hospitality venues to ensure a safe and efficient preparation of meeting and conference spaces in hotels. It guides staff through the critical steps required before, during and after an event, helping to prevent manual handling injuries, trips, falls and fire hazards while supporting rapid room turnover.

The checklist follows the Manual Handling Operations Regulations 1992 and the Health and Safety at Work Act 1974, incorporating HSE guidance on event safety and temporary works. By using this tool, supervisors can confirm that risk assessments are in place, staff are competent, the environment is clear, equipment is fit for purpose and emergency arrangements are communicated.

Use this checklist for:

  • Pre‑set‑up inspections – verify the room, equipment and personnel are ready before any lifting or installation begins.
  • During set‑up monitoring – watch for emerging hazards such as tripping cables, unstable furniture or inadequate lighting.
  • Post‑event handover – ensure the space is returned to a safe condition for the next user.

Each question is answered Yes, No or N/A. Any “No” response must be resolved before the room is occupied or before the next event starts.

To apply the checklist, the appointed supervisor or team leader reviews each item, marks the response and takes corrective action where required. Completed checklists should be retained as part of the venue’s event safety records.
