This universal checklist supports the safe management of all visitors to any workplace, ensuring compliance with the Health and Safety at Work etc Act 1974, the Management of Health and Safety at Work Regulations 1999 and the official HSE visitor safety guidance. It provides a clear, structured sign‑in and induction process that can be applied across offices, factories, warehouses, retail premises and care settings. By following this checklist you demonstrate a proactive approach to meeting your duty of care under section 2 of the Health and Safety at Work etc Act 1974 and maintaining a safe environment for non‑employees.

Use this checklist for:

  • Confirming that a visitor risk assessment has been carried out and recorded.
  • Verifying that all visitors receive a site‑specific safety briefing and are aware of emergency procedures.
  • Ensuring routes, work areas and equipment are safe and that any hazardous substances are identified.
  • Documenting the provision, condition and return of any required personal protective equipment.
  • Recording visitor arrival, escort details and departure times for audit purposes.

How to use: complete the ‘Authorization & Planning’ items before the visitor arrives, run the “People”, “Environment”, “Task‑specific Hazards”, “Plant & Equipment”, “Substances”, “PPE”, “Collective Safety” and “Emergency” sections at the start of the visit, and finish with the “Completion” items as the visitor leaves. Keep the checklist on the reception desk or in a digital log so it can be signed and stored as part of your health‑and‑safety records.

Record keeping: retain completed checklists for at least three years, or longer if required by contract or specific industry standards, to provide evidence of compliance during inspections or audits.
