This minibus pre-use safety checklist template helps trip leaders and educational visit coordinators ensure a school minibus is safe before any journey.

It covers all essential safety dimensions – authorisation and planning, driver competence, vehicle condition, fluids, tyres, brakes, lights, seatbelts, passenger headcount, boarding area safety, first‑aid provision, fire safety, emergency exits, personal protective equipment and make‑safe procedures – and references the Health and Safety at Work etc. Act 1974 as the governing legislation. The guidance is based on HSE vehicle inspection recommendations and reflects best practice for school transport.

Use this checklist for:

  • Pre‑use checks – confirm the minibus and driver are ready before each trip.
  • Site inspections – verify vehicle safety during routine school visits.
  • Training and briefings – reinforce safe boarding, seating and emergency procedures.

Each item is answered Yes, No or N/A; any No response must be resolved before the vehicle departs. The checklist is designed to be completed on the day of travel, with any identified issues corrected or reported before the journey begins.

The trip leader should review the completed checklist before departure and ensure any corrective actions are taken and recorded.
